What is a meeting time planner?

A meeting time planner finds the hours when people in different time zones are available at the same time. Choose a date, add each participant's city-based time zone and working hours, then compare ranked meeting slots in every person's local time.

How to use

  1. 1Choose the date and length. Pick the meeting date and select a duration from 15 minutes to four hours.
  2. 2Add each participant. Choose a city-based IANA time zone and set normal work start and end times for each person.
  3. 3Compare the ranked slots. Review the best matches with the exact local date and time shown for every participant.
  4. 4Copy a meeting option. Copy one slot or all suggestions into a message, agenda or calendar invite.

Who it's for

This planner runs entirely in your browser and uses the IANA time-zone data built into modern browsers. Nothing is uploaded. It checks a full local day in 15-minute steps, filters slots by your meeting length, then ranks valid options toward the middle of each participant's workday.

FAQ

Is my team schedule uploaded anywhere?

No. The date, time zones and work hours stay in your browser. The planner performs every overlap calculation on your device and does not send the schedule to a server or save it to an account.

Is the meeting time planner free?

Yes. You can compare dates, work hours and meeting lengths for free, with no sign-up or download. The current planner supports up to six participants in one comparison.

How many time zones can I compare?

You can add two to six participants. Each participant can use a different IANA time zone and a separate start and end time, so people in the same city can still have different working hours.

Does the planner handle daylight saving time?

Yes. It uses the browser's IANA time-zone rules for the exact date you choose. That accounts for regions that enter or leave daylight saving on different dates, as long as your browser and operating system have current time-zone data.

How does it choose the best meeting time?

The planner first removes every slot that falls outside anyone's working hours or cannot fit the selected meeting length. It then ranks the remaining 15-minute slots by how close the meeting midpoint is to the middle of each participant's workday.

Can I plan an overnight shift?

Not in the current version. Each workday must end after it starts on the same local day. For an overnight worker, enter the daytime portion that person can use for this meeting, or compare the next date separately.

Why can the local date differ between participants?

One instant can fall on different calendar dates around the world. A late afternoon meeting in California may already be the next morning in Asia, so every suggestion includes the local weekday and date for each participant.
